Behind Every Approval Is Experience: Inside Our Maintenance Controller Team

15th Sep 2026

When a vehicle goes off the road, the response is key. Every hour waiting on an approval can equal missed jobs, rising costs, mounting pressure on other vehicles and stakeholder unrest.

What fleets often overlook is who is making approval decisions on their behalf at their fleet partner?

In the Driveway Vehicle Solutions’ Maintenance team, approvals are not driven by a lengthy workflow or script, they’re made by people who have spent years or in some cases decades on the tools, running workshops, managing technicians and dealing with the day-to-day realities of vehicle repair.

That level of understanding and experience is tough to quantify. It allows us to make decisions accurately and quickly, delivering an average authorisation response time of under two minutes.

From the Workshop to Fleet Approvals

We recognise modern vehicles are complex. Mixed fleets, EVs, technology bursting at the seams, different industry expectations and practices. There’s a lot to deal with for a repair, it isn’t just the case of ticking a box.

The team at Driveway Vehicle Solutions don’t rely on a generic workflow, because they don’t need them. There’s isn’t much they’ve not seen before. They get:

  • Repairs in the real world vs on paper
  • Where estimates are realistic and where they aren’t
  • What delays do to workshop flow and vehicle uptime
  • When escalation adds value, and when it simply adds time

Such judgement is a skill that comes from experience. Experience is the common thread that ties our team together.

Paul Duffin – Fleet Services Team Manager

Paul Duffin brings over 45 years of experience to the team, a career that started on the workshop floor to a role of senior operational leadership as our Fleet Services Team Manager.

Starting out as a Vehicle Technician, Paul has built a deep technical understanding before becoming a Garage Manager and Area Manager leading multi-site operations developing high-performing teams. That blend of hands-on expertise and strategic insight underpins his day-to-day work today.

The work Paul action doesn’t come from theory; it’s grounded in real-world repair scenarios and an understanding of the commercial pressures and clear view of what keeps businesses moving. That’s why our approvals are decisive, pragmatic and aligned to an outcome not just a process sheet.

Matthew Lindley – Maintenance Controller

Matthew’s career has been built on a key Lithia UK value of ‘Improve Constantly’. Starting as an apprentice as Beechdale Saab in Nottingham, that strong foundation in gaining a Level 3 City & Guilds NVQ in Vehicle Maintenance and Repair and hands on experience across multiple manufacturers has taken him to where he is today.

  • Main dealer technician roles at Nissan, Renault, Ford, Honda and Toyota
  • Engine rebuilds and complex repairs
  • MOT training and diagnostic technician certification
  • Workshop Controller and Assistant Manager responsibilities

Matthew also brings a unique perspective from his time as a Launch Engineer at Jaguar Land Rover, preparing the Discovery 5 for market and supporting international dealer test programmes. That role demanded absolute attention to detail, rapid fault resolution and accountability under pressure, qualities that translate directly into high quality maintenance decisions today.

When Matthew reviews a request, he isn’t guessing what a technician is facing. He’s been there.

Dan Hage – Maintenance Controller

Dan’s experience represents the full workshop ecosystem, from apprentice, to technician, to customer facing roles and operational control.

After gaining his Level 1, 2 and 3 vehicle maintenance qualifications through a three year apprenticeship at Halfords, Dan moved into a Toyota main dealer where he:

  • Worked as a technician
  • Achieved his MOT licence
  • Transitioned into Service Advisor and later Workshop Controller roles

That journey gives Dan something invaluable: a clear understanding of every pressure point in the repair process, technicians, customers and workshop flow alike. Having supervised teams and owned day to day workshop performance, he knows where delays originate and where decisions need to be made quickly.

Today, as a Maintenance Controller, Dan applies that knowledge to keep work moving, not waiting.

Rory Palmer – Fleet Optimisation Manager

Rory has built a career on the deep understanding of vehicle maintenance and fleet operations. Starting out as a Fleet Maintenance Apprentice and progressing to over 10 years’ experience as a technician before going into fleet operations and maintenance management, he brings hands-on expertise with a data-driven mindset to improving fleet performance.

  • Level 3 City & Guilds Diploma in Vehicle Maintenance and Repair
  • IMI Advanced Level Apprenticeship in Vehicle Maintenance
  • 10 years' technician experience, including Jaguar Land Rover Level 3 accreditation
  • Fleet Operations and Maintenance Management experience with responsibility for SMR, supplier management and performance improvement

The foundation of Rory’s work is built on with valuable operational experience managing fleet maintenance programmes, supplier performance and customer relations. His background in KPI and data enables him to identify opportunities that reduce vehicle downtime and improve operational efficiency whilst delivering a better outcome for customers.

When reviewing fleet performance, Rory isn’t just reading numbers because he understands the operational reality behind it from both a technician and fleet operator’s perspective.

Working closely with our Maintenance Controller team, Rory utilises data and insight to identify opportunities to cut avoidable VOR, improve fleet visibility and support better processes. Operational data soon turns into practical actions with Rory.

Why Experience Changes Outcomes

Our team is making decisions on accuracy and knowledge. It’s not about being lenient or more conservative in our approach.

The technical know-how means we:

  • Validate repair scope correctly the first time
  • Approve or reject with confidence, not hesitation
  • Avoid unnecessary escalation
  • Maintain momentum across workshops and fleets

The result is fewer stalled vehicles, fewer re works, and decisions that balance risk, cost and uptime intelligently.

Better Decisions, Less Avoidable VOR

Vehicle off road time is something we will never be eliminated. Unnecessary VOR should be reduced, one of the biggest levers we can pull in this area who is making the decision.

Fleets at the top are those putting technical judgement at the forefront of their approach. People understanding vehicles, workshops and the cost of operational delay will win in the modern fleet.

Our Maintenance Controller team has this in bundles, not paperwork for its own sake, but decisions that keep your fleet working hard.
